01

Confirm the 2026 venue plan first

GITEX GLOBAL 2026 runs from 7 to 11 December. The GITEX Summit is scheduled for 7 December at Dubai World Trade Centre, while the GITEX GLOBAL Expo is scheduled from 8 to 11 December at Expo City Dubai. Exhibitors should confirm their specific venue, hall and access instructions before finalizing transport or installation plans.

The move to Expo City makes early coordination especially important. Share the stand plan, hall location, loading window and appointed contractor details with the holographic display team before content and equipment are locked.

02

Give the display one commercial job

A Holobox can attract attention, but attention alone is not a useful event objective. Decide whether the experience should demonstrate a product, explain a complex platform, introduce an AI spokesperson, qualify visitors or help the sales team begin a conversation.

Write that objective as one sentence. It should guide the display size, content loop, interaction method, staffing and call to action. If several business units share the stand, create separate short sequences instead of forcing every message into one long presentation.

03

Design for a crowded technology exhibition

Visitors approaching a busy stand often decide within seconds whether to stop. Lead with the strongest three-dimensional visual, reveal the product or idea quickly and keep the main loop concise enough to be understood without waiting for a scheduled presentation.

Avoid making a QR code the only next step. A visible call to action can support the experience, but the stand team should be ready to continue the same story, answer technical questions and capture a qualified lead while interest is high.

04

Can a Holobox work on a crowded GITEX stand?

Yes, when its position and viewing zone are planned into the stand rather than added at the last minute. Place the Holobox where the floating subject is visible from the main visitor flow without blocking the entrance, meeting area or neighboring exhibitor sightlines.

Allow space for a small group to pause safely. Check nearby LED walls, direct spotlights, reflections, power access and the distance between the display and the intended audience. The approved HOLO DXB Holobox is an enclosed display unit; it should not be substituted with an exposed hologram fan when the brief requires close viewing or interaction.

05

Use an AI avatar only when it improves the visit

An AI avatar can explain a technical proposition, answer a controlled set of common questions or welcome visitors in more than one language. It works best when the conversation is focused and there is a clear handover to a human specialist for pricing, detailed engineering or commercial discussions.

Prepare approved answers, escalation rules and a fallback experience before the event. If visitor data is collected, explain what is being captured and connect the interaction to the exhibitor's agreed lead-management process rather than creating a separate database that the sales team never uses.

06

Build the content around the physical unit

The strongest Holobox content is composed for depth, scale and contrast. Product cutaways, digital twins, animated data, a life-size presenter and an AI character can all work, but each requires a different camera position and visual hierarchy.

Review an early content test on the actual unit. A video that looks impressive on a laptop can appear too small, too bright or visually flat inside a holographic display. Leave time to adjust scale, transparency, loop timing and the final branded frame after this test.

07

Rehearse the complete visitor journey

Treat installation, content and stand staffing as one system. Test power, connectivity, audio, remote content control and any touch, gesture or voice interaction under the final stand lighting. Keep approved content and a non-interactive backup locally available in case venue connectivity is restricted or unstable.

The stand team should know what the visitor has just seen, what question to ask next and where the lead is recorded. Rehearse the experience before the show opens, including the handover from the display to a human representative.

  • Eight to ten weeks before: confirm the objective, unit and stand position
  • Four to six weeks before: approve the content direction and integrations
  • One to two weeks before: test final content on the Holobox
  • Before opening: rehearse the visitor flow, lead capture and fallback plan
08

Measure outcomes, not novelty

Choose measures that connect to the event objective: qualified conversations, completed demonstrations, meetings booked, product configurations, scans or dwell time. Compare the results by day and time period so the team can improve the content or call to action while the exhibition is still running.

Event dates and venue information in this guide are based on the official GITEX GLOBAL website, gitex.com, and should be reconfirmed with the organizer before production. HOLO DXB is not affiliated with or endorsed by GITEX GLOBAL.
